What to check before you rely on this
This estimator turns meeting time into dollars. The math is straightforward: number of attendees × average hourly rate × total meeting hours (including prep and follow-up). But money isn't the only cost. Use this as a starting point, not the final word.
Examples to get started
Weekly team sync
12 attendees, $45/hr, 1h meeting, 0.25h prep & follow-up each
Total: $810
Project kickoff
6 attendees, $65/hr, 2h meeting, 0.5h prep & follow-up each
Total: $1,170
All-hands
45 attendees, $35/hr, 1.5h meeting, 0.25h prep & follow-up each
Total: $2,362.50
Common mistakes
- Forgetting prep and follow-up time. Most people only count the time they sit in the room.
- Using base salary instead of total cost. A $50/hr salary often costs $65–$75/hr with benefits.
- Counting only the attendees, not yourself. Include everyone in the room.
Quick answers
- Does this include taxes or benefits?
- No. Multiply the base rate by 1.3 to approximate total employee cost.
- Can I add room rental?
- Not directly. You could adjust the hourly rate upward to compensate, but it's a rough method.
- Where is my data stored?
- Everything stays on your device. Presets and history are saved to browser local storage.
